HR Administration Assistant – Foxes

 

Location: Minehead, Somerset

Salary:  £25,729.60 - £26,436.80

Hours: 40 Hours per week - all year round (52 weeks)

The main purpose of the role:

 

As our HR Administration Assistant your role will be to provide confidential administrative support to the Aurora Foxes HR team including typing letters and taking minutes for meetings as required. General tasks include filing and arranging meetings and appointments. 

You will also be required to undertake reception duties and respond to telephone/ email enquiries or direct to the relevant person, welcome/ sign in visitors, diary management and taking deliveries when required. Including any other duties as reasonably required by the Principal and the Senior Leadership Team.

 

 

Key duties:

 

  • Providing confidential administrative support primarily to the HR team
  • To support the administration team in all areas to provide an excellent service across the Aurora Foxes.
  • Answer the telephone/ written correspondence in a professional and welcoming manner and to ensure all calls and messages, are forwarded to the relevant person/department accurately and promptly.
  • Operating a computer to access databases and using word processing applications when required.
  • Check the administration email inbox regularly and forward emails as appropriate.
  • Review and maintain stationery stock levels and raising orders, as required, following authorisation procedures, placing orders and checking items received against the orders placed.
  • Research and review competitively priced products to be purchased as requested by departments.
  • Arrange travel and hotel bookings, and arrangements, as requested following the organisation’s authorisation procedure
  • Assist in all areas of administration as directed by your line manager.
  • Support in areas of marketing to support the marketing administrator.

Skills and Qualifications

Successful candidate qualities:

  • Minimum Level 2 in English and Maths.
  • A pleasant and helpful personality.
  • An excellent telephone voice and a clear communicator, both verbally and written.
  • Previous reception experience in a similar role (desirable)
  • A good level of literacy and numeracy.
  • Working with young vulnerable adults or children (desirable).
  • Computer literacy – Excel, Word, Outlook, Access, PowerPoint and ability to use range of databases once trained
  • Ability to manage own time to deal with multiple tasks.
  • Able to work as part of a team.
  • Discreet, confidential and reliable.
  • Knowledge of GDPR
