Finance Administrator and Assistant School Administrator - Aurora Severnside School

 

Location: Berkeley, South Gloucestershire  

Salary: £26,665.60 - £28,849.60 – dependant on experience & qualifications

Hours: 40 hours per week – full year (52 weeks)

The main purpose of the role:

 

We are looking for a reliable and organised Finance Administrator and Assistant School Administrator to join our friendly team. You will assist in maintaining student records, inputting and retrieving data, taking accurate minutes as required, preparing relevant information for Ofsted inspections and assisting with any other duties that may be required by the School Business Manager, Headteacher or other members of SLT.

Key Duties:

 

  • Support the School Business Manager with the admin of the Finance at the school, raising purchase orders on the Unit4 finance system, ‘receipting-in’ orders, reconciling card payments and receipts on the Soldo card system. Ensuring adherence to financial policies and procedures.
  • Placing orders for all materials and equipment, check items delivered are sound, and distribute parcels to staff as appropriate, making sure to arrange for the return of defective or unwanted goods asap.
  • Match delivery notes with invoices, ensuring goods have been received, prices are correct and item amounts are as ordered.
  • Supporting the administration of school events, trips, visits ensuring policy and process is followed regarding booking and payment.
  • Provide administrative support and assistance on a day-to-day basis to the School Business Manager and whole school team as required.
  • Undertake general administrative duties for the Leadership Team.
  • Undertake some occasional reception services to the school, acting as the first point of contact in dealing with routine phone calls, taking messages, greeting visitors and dealing with mail when required.

Skills and Qualifications

Successful candidate qualities:

 

  • Good level of literacy and numeracy (English and Maths GCSE at C grade or above).
  • Must have excellent computer skills – Excel, Word, Outlook, PowerPoint and ability to use range of relevant software following training.
  • Demonstrable experience of working in administrative role ideally to include finance and/or within an educational environment.
  • Excellent organisation skills: ability to work in a busy and demanding environment.
  • Ability to work independently and effectively without supervision.
  • Ability to prioritise workload.
  • Able to happily work as part of a team.
  • Commitment to service quality.
  • Ability to be discreet and protect confidentiality.
  • Excellent communication skills both verbal and written at all levels.
  • Excellent customer focused manner.
